Terms & Conditions.
The terms on which PalletFlow is provided — subscriptions and pricing, your 7-day free trial, billing and renewal, cancellation, your data, and the limits of our responsibility.
Last updated: 12 September 2026
These terms
These terms govern your organisation’s use of PalletFlow, provided by PRAGO CONSULTING LIMITED (“PalletFlow”, “we”, “us”). By starting a subscription, activating an account or using the service, your organisation (“you”) accepts them.
If you are agreeing to these terms on behalf of an organisation, you confirm that you are authorised to bind it.
Our Privacy Policy forms part of these terms and explains how information is handled.
What PalletFlow is
PalletFlow is subscription software, delivered over the internet, for running a pallet business. It supports operational workflows including pallet collections, grading, stock and inventory, repairs, repairer and workforce tracking, supplier activity, customer orders, pallet sales, deliveries, payments and operational reporting.
PalletFlow is software and nothing else. We do not collect, transport, deliver, supply, repair, recycle or store pallets, and we are not a party to any trade you conduct with your own suppliers or customers.
PalletFlow is not accounting, tax or payroll-filing software, and it does not provide regulatory, tax or legal compliance in any jurisdiction. Your records and returns remain your responsibility.
Business use only
PalletFlow is supplied to businesses for business purposes. It is not offered to consumers, and consumer cancellation rights do not apply. You confirm that you are subscribing in the course of a business.
Your account
When you subscribe we create an organisation workspace for you and invite your first administrator by email. That person sets their own password to activate the account; we never generate, email or hold a password for you.
You must give accurate information when subscribing and keep your contact and billing details up to date. An email address may be associated with only one PalletFlow account.
Authorised users and credentials
Your administrator may invite other people in your organisation and set what each of them can do. Those people are your authorised users, and you are responsible for their use of PalletFlow as if it were your own.
- Accounts are personal to the individual and must not be shared.
- You are responsible for keeping credentials confidential and for removing access when someone leaves your organisation.
- You must tell us promptly at hello@palletflow.co.uk if you believe an account has been compromised.
Plans and pricing
PalletFlow is sold on the following basis.
- Starter — £99 per month. One package price for your organisation.
- Professional — £199 per month. One package price for your organisation.
- Enterprise — priced by agreement. Scoped and agreed with our team, and governed by the arrangement we enter into with you. Where that arrangement conflicts with these terms, it prevails.
Subscriptions are billed monthly, in pounds sterling. We do not offer annual billing. Pricing is per organisation and is not counted by users, seats, pallets, collections or transactions.
We are not registered for VAT, so the listed price is the total price and no VAT is added to it. If that position changes, we will tell you before it affects a renewal.
We may change our prices. Any change to what you pay will be notified to you in advance and will take effect from a subsequent renewal, never mid-period.
Your 7-day free trial
Starter and Professional subscriptions open with a free trial of 7 days. The trial starts when you sign up and ends 7 days later: a subscription started on 12 September runs free until 19 September.
- A payment method is required to start the trial.Your card is entered on our payment provider’s secure checkout at sign-up.
- £0 is charged at that checkout. No subscription charge is taken on the day you sign up.
- Your subscription begins charging when the 7-day trial ends: the first monthly payment (£99 for Starter or £199 for Professional) is taken on that day, unless you have cancelled before the first payment.
- The free trial is available once per organisation. If you subscribe, cancel and subscribe again, the later subscription starts as a paid one.
Enterprise is a commercial engagement rather than a self-service subscription and carries no self-service trial.
Payment and renewal
Payments are taken by Stripe, our payment provider. Your card details are entered on Stripe’s own secure checkout and are never seen or stored by PalletFlow.
When the 7-day trial ends, your subscription renews automatically each month and the applicable monthly fee is charged to the payment method on file, until it is cancelled. Each renewal covers the month ahead.
You can see your plan, your renewal date and your subscription status at any time on the billing page inside PalletFlow.
Cancelling
You may cancel at any time from the billing page inside PalletFlow. No notice period applies and you do not need to contact us to do it.
Cancelling stops the next automatic payment. It does not cut off your access on the spot.
- Cancel during your 7-day trial and no subscription charge is ever raised. Your access continues until the end of the trial, and the subscription then ends.
- Cancel during a paid month and your access continues until the end of the month you have already paid for. The subscription then ends and no further payment is taken.
Because a cancellation always runs to the end of the period, monthly fees already paid are not refunded on a pro-rata basis — you keep what you paid for until it expires. Nothing in this clause affects any right you have to a refund where the law requires one.
Cancelling ends the subscription; it does not by itself delete your records. See Your data.
If a payment fails
A failed payment is usually an expired or replaced card rather than a decision to stop paying, so we do not cut off access at the first failure. A failed renewal opens a grace period during which your access continues, and we will ask you to update your payment method.
If the grace period passes without a successful payment, access may be restricted until the account is brought up to date. Your data is retained throughout — it is not deleted because a payment failed.
Suspension
We may suspend access, in whole or in part, where it is reasonably necessary: to deal with a security incident; where an account is being used in breach of Acceptable use; where required by law; or where a subscription remains unpaid after the grace period.
We will give you as much notice as the circumstances reasonably allow, and we will restore access once the cause is resolved. Suspension is not deletion.
Your data
The operational records you create in PalletFlow are yours. We claim no ownership of them. We process them to provide and support the service, as described in our Privacy Policy, and we do not use them for our own purposes or sell them.
You are responsible for the accuracy and lawfulness of what you record, and for having the right to record information about other people — your staff, suppliers and customers.
After a subscription ends your data is not removed automatically. We may continue to hold it where it is reasonably necessary — so that your account can be reopened, reconciled or exported, and to meet our legal, accounting and security obligations. Our Privacy Policy explains this in more detail.
If you want your data exported, or removed, ask us — ideally before you cancel — and we will agree with you what is possible, subject to anything we are required to keep. This does not affect any right of erasure available to individuals under data protection law.
Acceptable use
You must not:
- use PalletFlow unlawfully, or to store or transmit unlawful material;
- attempt to gain access to another organisation’s data, or to any part of the service you have not been granted access to;
- probe, scan, overload or otherwise interfere with the service or the infrastructure it runs on;
- copy, resell, sublicense or make the service available to anyone outside your organisation;
- reverse engineer or attempt to derive the source code of the service, except so far as the law expressly permits;
- remove or obscure any proprietary notice.
Intellectual property
PalletFlow, its software, design, documentation, name and branding remain our property or that of our licensors. Your subscription grants you a non-exclusive, non-transferable right to use the service for your own business while it is active. It grants no other rights.
If you send us feedback or suggestions, we may use them to improve the service without obligation or payment to you. You keep all rights in your own data and your own branding.
Third-party services
The service depends on third-party providers — notably Stripe for payments, an email delivery provider for transactional messages, and our hosting provider. Their availability and terms are outside our control, and we are not liable for their acts or omissions beyond our own reasonable responsibility for choosing and managing them.
Your relationship with Stripe in respect of payment is governed by Stripe’s own terms in addition to these.
Service availability
We will take reasonable care to keep PalletFlow available and to keep it working as described. We do not currently offer a contractual uptime guarantee or service level agreement, and we do not promise the service will be uninterrupted or error-free.
We may carry out maintenance, and will try to schedule anything disruptive outside normal UK working hours where we reasonably can. We may change or improve features over time; we will not remove a material capability you rely on without reasonable notice.
Support
Support is provided by email at hello@palletflow.co.uk during normal UK business hours. We aim to respond promptly. No specific response or resolution time is guaranteed under these terms; Enterprise arrangements may agree support commitments separately.
Limitation of liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.
Subject to that:
- we are not liable for loss of profit, loss of business, loss of anticipated savings, loss of goodwill, business interruption, or any indirect or consequential loss;
- we are not liable for loss or corruption of data to the extent it arises from your own acts, omissions or instructions;
- our total liability arising out of or in connection with these terms in any twelve-month period is limited to the total subscription fees you paid us in the twelve months before the event giving rise to the claim.
PalletFlow reports on the information you put into it. Operational and commercial decisions you take using it remain yours.
Each party will comply with its obligations under applicable data protection law. You remain responsible for your own regulatory, tax and accounting obligations.
Termination
You may end your subscription at any time by cancelling, as described in Cancelling.
We may end or suspend your subscription if you materially breach these terms and do not put it right within 30 days of us asking you to, or immediately where the breach cannot be put right or where the law requires it.
On termination your right to use the service ends. Clauses that by their nature should survive — data, intellectual property, liability and governing law — continue to apply.
Changes to these terms
We may update these terms as the service develops or as the law changes. The date at the top shows when they last changed. Where a change materially affects your rights or obligations we will notify account administrators by email in advance, and the change will take effect from your next renewal.
If you do not accept a change, you may cancel before it takes effect.
General
These terms, together with our Privacy Policy and any Enterprise arrangement we have entered into with you, are the entire agreement between us about PalletFlow.
You may not transfer your rights under these terms without our written consent. If any provision is found unenforceable, the rest continues to apply. A delay in enforcing a right is not a waiver of it. Nobody other than you and us has any right to enforce these terms.
Governing law
These terms, and any dispute or claim arising out of or in connection with them, are governed by the laws of the part of the United Kingdom in which PRAGO CONSULTING LIMITED is registered. The courts of that jurisdiction have exclusive jurisdiction to settle any such dispute or claim.
